Clipboard, Calm and in Control: The Life of a Facilities Manager

A Facilities Manager (or FM, if you’re in the know) is the person responsible for making sure that buildings and their services run like a well-oiled machine. Offices, schools, hospitals, shopping centres, you name it, they all need someone behind the scenes keeping things safe, functional and efficient.

And that’s where FMs shine.

Their day-to-day might include a bit of everything (and then some). Facilities Managers wear a lot of hats, but here’s just a flavour of what they get stuck into:

  • Overseeing maintenance and repair

    That leaky tap isn’t going to fix itself and neither is the dodgy door hinge, flickering light or mysterious rattle in the ceiling. FMs make sure everything in the building is running smoothly, safely and as it should be. That includes arranging planned maintenance, responding to unexpected issues and keeping a close eye on ageing assets before they decide to retire themselves. Proactive is the name of the game (and yes, there’s usually a spreadsheet for that!).

  • Ensuring health and safety compliance

    Fire drills, first aid kits, emergency exits, PAT testing, risk assessments, COSHH cabinets… not the most glamorous part of the job, but absolutely one of the most important. Facilities Managers are the guardians of workplace safety, making sure everything’s up to code and that staff are trained, prepared, and protected. This is more than ticking boxes, it’s making sure everyone gets home in one piece.

  • Managing cleaning, catering and security contracts

    Because someone has to make sure the lunchroom isn’t a biohazard and that the front doors actually lock. Whether it’s coordinating cleaners, working with caterers or managing a full security team, FMs handle it all. They make sure services are reliable, standards are high and budgets stay intact. You’ll also deal with supplier contracts, performance reviews and the occasional “Why’s there no milk?” moment.

  • Planning space and layout

    Desk shuffles, meeting room upgrades, breakout areas, entire office relocations — it’s all in a day’s work for a Facilities Manager. You’ll be the one making sure spaces are being used efficiently, comfortably and in a way that supports how people actually work. That might mean accommodating hybrid working patterns, creating quiet zones or ensuring that the new coffee machine doesn’t block the fire exit.

  • Sustainability initiatives

    Saving energy, reducing waste and making buildings a bit kinder to the planet isn’t just a trend, it’s a big part of the FM role. From installing energy-efficient lighting to improving recycling systems and reducing water usage, Facilities Managers are key players in helping organisations meet their sustainability goals. It’s good for the planet, good for budgets and very good for your organisation’s reputation.

  • Budgeting and cost control

    Facilities don’t run themselves, and they don’t come cheap! FMs are the ones making sure everything works and comes in under budget. That means carefully planning costs, getting the best value from suppliers, forecasting future spend and knowing when to invest in upgrades versus patch-ups. You’ll also have to make a solid case to senior leadership when the roof needs redoing, and justify why it’s worth every penny.

In short, they’re problem-solvers, people-managers, organisers and quietly brilliant fixers. If you like variety, responsibility, and having no two days the same, you might just love this career.

What Skills Do You Need to Be a Facilities Manager?

The good news is you don’t need to know how to rewire a fuse box or rebuild a boiler to get started. (Though if you do, fair play – it can’t hurt!)

Facilities Managers come from all sorts of backgrounds and while technical knowledge is a plus, the real must-haves are:

Problem-solving

Something’s always on fire (only figuratively speaking – most of the time!).

But a good Facilities Manager doesn’t panic. They pause, assess and figure out the fix before the rest of us have even realised there’s a problem.

Whether it’s a burst pipe, a building-wide Wi-Fi failure or a mysteriously beeping alarm at 4am, you’ll need to think on your feet and come up with solutions that are quick, safe and don’t cost the earth. It’s like being a detective, project manager and practical wizard rolled into one.

Staying calm under pressure

When the lifts are out, the air con’s gone rogue and half the office is suddenly convinced it’s unsafe to work without a functioning fridge — you’ll be the one staying calm and calling the right people.

Facilities Managers are known for their cool heads and can-do attitude, especially in emergencies.

If you’re the sort of person who thrives in chaos and secretly enjoys a bit of a crisis (the solvable kind), you’ll fit right in.

Communication

You’ll be chatting with contractors one minute, updating senior management the next and then explaining to Carol from HR why the coffee machine is out of action again.

Facilities Managers are brilliant at translating technical jargon into plain English and keeping everyone in the loop (from the CEO to the cleaner). Clear communication keeps things running smoothly, avoids crossed wires and stops minor issues turning into full-blown workplace dramas.

Organisational skills

Spreadsheets. Schedules. Checklists. If you love a good plan and colour-coded diary, you’ll be right at home in Facilities Management.

From planning maintenance schedules months in advance to juggling contractors, audits and building upgrades, FMs need to stay on top of the details without losing sight of the big picture. Your ability to stay organised is what keeps the chaos at bay and what makes everyone else’s life a whole lot easier.

Leadership and people skills

You might be managing your own team or coordinating an army of external suppliers, from security contractors to plumbers who only work Tuesdays. Either way, you’ll need to be fair, firm, approachable and capable of building strong working relationships.

Facilities Management isn’t a solo mission, it involves working with all manner of people to get things done. Being a decent human, a clear communicator and someone who leads by example.

Sustainability awareness

Facilities Managers often lead the way in making buildings greener, cleaner and more energy efficient.

Whether it’s cutting down on waste, reducing energy use or championing better recycling habits, you’ll be in a great position to make a real difference.

Sustainability isn’t just a nice-to-have anymore, it’s essential, and FMs play a huge part in helping organisations meet their environmental goals (while also saving them a small fortune on utility bills).
